The Four Labs

Operator WhatsApp privacy notice

How the FourLabs pilot handles WhatsApp messages and business workflow information.

Updated 24 September 2026

Who this notice covers

FourLabs Operator lets authorized people request business work and receive replies through a business's WhatsApp number. This notice explains the FourLabs pilot. If you contact another business using Operator, that business determines its workflows, access permissions and record-retention requirements. Contact that business for its privacy notice and questions about its records.

Information we process

We process the text you send to the Operator business number, your WhatsApp phone number, message identifiers, message and delivery times, references to messages you reply to, and delivery-status information. An administrator may configure your name, phone number and organizational role to control access. A workflow may use information in your message to create business records, prepare a response or ask an authorized person for clarification.

The initial pilot supports text messages. Avoid sending passwords, payment-card details or information unrelated to your business request. Access to a business workflow depends on the business's configured permissions.

Why we use this information

We use it to identify authorized participants, route requests, carry out permitted workflows, send receipts and results, connect replies to the correct request, and investigate failures or unauthorized access. We keep message and processing history so the business can understand what was requested, what happened and whether a reply was delivered.

AI processing and service providers

Operator uses Meta's WhatsApp Business Platform to receive and send messages. Configured AI services, including OpenAI and TypeSafe JEV, may receive your message and relevant workflow information to interpret a request, select an available workflow, prepare inputs or perform an AI step that the business enables. Responses may be generated automatically. Ask the business to review a result if it appears incorrect.

The deployment's authorized administrators and workflow participants can access information permitted by their roles. FourLabs may access pilot data to operate and support the service. The pilot stores operational data on a FourLabs-controlled computer and uses Cloudflare to route its public HTTPS webhook traffic. Cloudflare and the configured AI providers process the information needed for their services. Processing locations and providers can differ between deployments, so contact the business for information about its setup.

WhatsApp and other providers have their own data-handling terms. Deleting a message in WhatsApp does not necessarily remove the business's copy or records already created from it.

Retention and deletion

The pilot does not currently apply an automatic expiry period to message or workflow history. Data remains stored until it is removed by an administrator under the pilot's retention and deletion process. Business records derived from a request may need to be retained separately for the business's operational or legal requirements. Clearing a conversation view hides it from that view; it does not delete the underlying messages or business records.

To request access, correction or deletion of information held by FourLabs, email hello@thefourlabs.com with the subject Operator data request. Identify the business number you contacted and enough information to locate your request, such as an approximate date. Do not include passwords, verification codes or full copies of sensitive records. We may ask for proportionate information to verify that the request concerns you before disclosing or removing data.

For a customer-operated deployment, contact that business first. FourLabs can help route a request to the responsible administrator. Where information must be retained, the responsible business will explain the remaining categories and reason. Removing data from Operator does not itself delete copies held independently by WhatsApp, message recipients or another service.

Changes and contact

We will update this notice when the pilot's use of information changes. The published page will show the date of its latest revision. Contact hello@thefourlabs.com for questions about this notice.
